Client Concierge

The Joseph Group

The Client Concierge is the gateway to hospitality at The Joseph Group. This role is responsible for scheduling Client as well as other meetings and keeping the office cadence. Additional priorities include greeting/directing clients and other visitors and driving first impressions consistent with TJG’s focus on a high level of care and service as well as taking care of the office. The term “concierge” implies that the role will help clients get their questions answered and/or get to the right resources at TJG in a personal way.

Duties and Responsibilities Include:
Schedule Meetings & Hospitality • Proactively schedule client meetings in accordance with the review schedule o Meet with each advisor regularly to review progress on scheduling o Coordinate all meetings via CRM and Outlook calendar to provide clear intra-office communication o Send reminder e-mails for meetings as needed • Greet clients and guests warmly o Make sure guests have refreshments and make them feel welcome • Screen and route telephone calls which come into the firm and take messages as needed • Order Client & Team lunches • Review calendar with the Team in our Monday calendar meeting o Remedy scheduling conflicts as needed • Coordinate use of conference room and maintain conference room appearance • Develop and send unique client gifts • Maintain office appearance as well as ensuring it is warm & seasonal • Schedule other meetings as requested Provide Firm Administrative and Office Support • Manage mail and shipping, office copier and maintenance, office maintenance • Order office supplies (paper, pens, paper towels, beverages, etc. as needed) • Maintain appearance of office and schedule cleaning • Coordinate monthly expense reports • Complete projects as requested • Other administrative duties as requested • When out of the office between hours of 9:00am – 5:00pm, make sure all items on this job description are accounted for and a backup plan is set (e.g. out of office set, clients have been responded to, lunches have been ordered, etc.)

Qualifications:
This Client Advisor position typically requires the following qualifications: • To embrace and live our Core Values of Excellence, Integrity, Enthusiasm, Humility and Teamwork • Bachelor’s Degree is a plus • Work experience that demonstrates people and teamwork skills • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook • Excellent communication, listening, and relationship building skills • Strong project management skills – organized, detail-oriented and able to multitask and prioritize • A passion for caring for clients • A team player in The Joseph Group’s “Best Places to Work” culture • Desire/ability to work successfully in a small company environment • Proactive, self-motivated personality Salary and Benefits Pay/benefits are competitive based on industry standards. • Salary will be based on experience • Benefits include health care, 401(k)…
